Common questions

Practical questions about running a consultation on Coproduce.

How long does it take to set up a consultation?

Most consultations are live within minutes of signing in. The URL builder takes you through every option (welcome message, optional session tagging, postcode granularity, branding) and produces a link and a QR code ready to share. No procurement process, no integration work.

Do participants need to download an app?

No. Coproduce runs entirely in the browser on any modern phone, tablet, or computer. Tap the link, record or type, submit. That's it.

What happens to voice recordings?

They're stored encrypted in the UK and only accessible by your organisation's admins. When an admin clicks "Transcribe" on a recording, the audio is processed by Cloudflare's UK-hosted Whisper service, and the resulting text is saved alongside the audio. Cloudflare does not use any of it for AI training.

How do you handle participants who want their data deleted?

Every participant is shown a deletion link on the submission success screen, a unique URL only they have. Visiting it deletes the submission, any associated files, and any feedback they gave, permanently. There's no time limit. If they lose the link they can email the consultation host, who can remove the submission from the dashboard.

Can multiple people in our organisation access the dashboard?

Yes. Each organisation can have multiple admins and additional read-only client accounts. The dashboard distinguishes between roles, and every administrative action is logged for accountability.

How is this different from SurveyMonkey or Google Forms?

Traditional survey tools exclude anyone who can't or won't write. Coproduce is built for voice and image as much as text, and built for the public sector's accountability needs (UK hosting, audit logging, GDPR documentation, granular retention controls) in a way that generic survey tools aren't.
